Booking Terms and Conditions

 

These Terms and Conditions apply to all travel arrangements made through Approver Travel. By confirming a booking, accepting an itinerary, making payment, or travelling on arrangements booked by Approver Travel, the traveller and/or client agrees to these Terms and Conditions.

 

  1. Booking Responsibility

All travellers are responsible for reviewing their travel arrangements carefully before confirmation. This includes names, travel dates, routes, destinations, flight times, accommodation details, transfers and any special requests.

Approver Travel will not be held responsible for errors once travel arrangements have been confirmed by the traveller or client.

 

  1. Check-In and Boarding Times

Travellers must allow sufficient time for check-in, security, immigration and boarding.

International check-in is required at least 3 hours before departure.

Domestic check-in is required at least 90 minutes before departure.

Domestic boarding gates may close 45 minutes prior to departure.

Failure to arrive on time may result in denied boarding, cancellation of the ticket, additional costs or loss of fare.

 

  1. Travel Documents

Travellers are responsible for ensuring that they have the correct and valid travel documents before departure.

Passports must be valid for at least 6 months after the return date of travel and must contain at least 2 blank pages.

Proof of identity is required for domestic check-in.

Approver Travel will not be responsible for denied boarding, refused entry or additional costs resulting from incorrect, invalid or insufficient travel documentation.

 

  1. Visas, Transit and Entry Requirements

It is the traveller’s responsibility to ensure they have the correct visas, permits, vaccinations, health documents and entry approvals for all destinations, transit points and stopovers.

Visa and entry requirements may change without notice. Travellers should confirm the latest requirements before departure.

Approver Travel may assist with general visa guidance where requested, but final responsibility remains with the traveller.

 

  1. Ticket Rules, Changes and Cancellations

All airline tickets are subject to the fare rules, cancellation penalties, change fees and refund conditions of the relevant airline or supplier.

Tickets may be non-refundable, non-changeable or subject to additional charges.

Any changes to confirmed bookings may result in airline penalties, supplier fees, fare differences, service fees or availability restrictions.

 

  1. Schedule Changes, Delays and Disruptions

Flight time changes, delays, cancellations, missed connections and operational disruptions are subject to the airline’s operational schedule and conditions of carriage.

Approver Travel will assist where possible with rebooking and alternative arrangements; however, airlines and suppliers remain responsible for their own schedule changes, delays, and service disruptions.

Additional costs resulting from delays, missed flights, cancellations or schedule changes may be for the traveller’s or client’s account.

 

  1. Payment Terms

Bookings are only confirmed once payment has been received unless a prior credit agreement is in place.

Prices, fares, taxes, and availability are subject to change until full payment has been received and tickets or vouchers have been issued.

Approver Travel reserves the right to cancel bookings where payment is not received by the required deadline.

 

  1. Supplier Terms

Approver Travel acts as an intermediary between the client and third-party travel suppliers, including airlines, hotels, transfer companies, car rental providers, visa providers, and other travel service providers.

All bookings are subject to the terms, conditions, and policies of the relevant supplier.

Approver Travel cannot be held liable for acts, omissions, service failures, cancellations, delays, overbookings, or operational decisions made by third-party suppliers.

 

  1. Traveller Information

Travellers must provide accurate names as per their passport or identity document, contact details, travel preferences, loyalty programme numbers, and any required traveller information.

Incorrect information may result in denied boarding, reissue costs, penalties, or cancellation of travel arrangements.

 

  1. Travel Insurance

Approver Travel strongly recommends that all travellers obtain comprehensive travel insurance before departure.

Insurance should include cover for medical emergencies, cancellation, curtailment, baggage loss, travel delays, missed connections and other travel-related risks.

It is the traveller’s responsibility to ensure that their insurance is suitable for their destination, travel purpose, and personal circumstances.

 

  1. Health, Safety and Destination Requirements

Travellers are responsible for checking health, vaccination, safety, immigration, and destination-specific requirements before travel.

Certain destinations may require vaccinations, medical certificates, health declarations, or other documentation.

Approver Travel may provide assistance where possible, but the traveller remains responsible for compliance with all applicable requirements.

 

  1. Accommodation, Transfers and Ground Services

Hotel bookings, transfers, car hire, and ground transport are subject to supplier availability, cancellation terms, check-in times, security deposits and local regulations.

Travellers are responsible for complying with supplier requirements and for any additional costs incurred during travel, including upgrades, incidentals, damages, waiting time, no-show fees or late changes.

 

  1. Refunds

Refunds are subject to airline and supplier rules and may take time to process.

Service fees, administration fees, cancellation penalties, and certain supplier charges may be non-refundable.

Approver Travel will submit refund requests where applicable but cannot guarantee approval or processing times, as these are determined by the relevant supplier.

 

  1. After-Hours and Emergency Assistance

Approver Travel provides after-hours travel assistance for urgent travel matters, including disruptions, missed connections, urgent changes, and emergency travel requirements.

After-hours assistance is subject to airline and supplier availability, fare rules, penalties, and applicable service fees.

 

  1. Limitation of Liability

Approver Travel will take reasonable care in arranging travel services but cannot be held liable for losses, delays, cancellations, missed connections, denied boarding, refusal of entry, supplier failures, force majeure events or circumstances beyond its control.

This includes, but is not limited to, weather events, strikes, airline disruptions, airport closures, government restrictions, border changes, civil unrest, medical emergencies, natural disasters or other unforeseen events.

 

  1. Acceptance of Terms

By confirming travel arrangements with Approver Travel, the traveller and/or client confirms that they have read, understood, and accepted these Terms and Conditions.
